Job Purpose:
Facilitates and coordinates all administrative and supportive functions to ensure the smooth running of the office of Head of Inclusion. Acts as an ambassador to the school and performs in an efficient, professional, and confidential manner all job duties.
Job Scope:
Responsible for managing all administrative and supportive functions of the Office of Inclusion.
Interfaces with DAA faculty, staff, students, parents, colleagues, members of the School Support Centre, and the
general School Community.
Key Accountabilities:
- Models and encourages a culture of kindness in support of the GEMS/DAA core values and upholds the mission and ethos of the school.
- Acts as an ambassador for the school and performs all job duties in an efficient, professional, and confidential manner. Takes initiative to improve systems and processes to aid in efficiency and effectiveness.
- Assist in the preparation of agendas and meeting materials.
- Maintain high-quality communication from and within the school office. Liaise with tact and diplomacy with school staff, students, parents, and visitors.
- Responsible for managing all secretarial functions of the Office of Inclusion.
- Perform a wide variety of general secretarial duties including the maintenance of accurate and detailed records, databases, and filing systems.
- Compile information from various sources to generate reports; prepare, collate, and distribute weekly, monthly, and annual reports as required.
- Review and update all documentation, calendars, and all school-related activities.
- Communicates information to faculty, staff, parents, and students.
- Schedule and coordinate meetings with teachers, parents, DAA staff, outside agencies, etc
- Maintain office supply records. Order, store, and issue supplies and materials pertinent to the function to which assigned.
- Ensure the GEMS/DAA policies, procedures, and codes of conduct are followed at all times.
- Initiate effort and energy beyond the typical work day, where the tasks require additional commitment.
- Support in organizing and monitoring services provided by outside agencies.
- Provide observations and support in various settings to help students meet their goals.
- Special arrangements for tests and external examinations.
- Maintaining existing resources and exploring opportunities to develop or incorporate new resources from the wide range available.
- Attend staff meetings, record meeting minutes and serve on committees as required.
- Organize student files for Inclusion.
- Respond to telephone calls and inquiries courteously and direct calls to appropriate school personnel.
- Help organize professional development and training sessions for inclusion staff.
- Assume responsibility for his/her professional development; for keeping current with the literature, new research findings, and improved techniques in inclusion; and for attending appropriate professional conferences.
- Work in tandem with all other secretaries and divisional faculty creating a positive team ethos.
- Assist with parent issues, trying best to resolve them in a timely and professional manner.
- Provide information regarding school programs, events, functions, activities, examinations, and timings.
- Help prepare and submit required reports to agencies such as KHDA, CIS, GEMS, NEASC, etc.
- Assist in budget preparation and monitoring of expenditures for the Inclusion Department.
- Perform other duties as requested by direct & dotted reporting line managers/supervisors.
